CRM for Construction: Manage Projects, Track Materials, Schedule Subcontractors & Win More Bids

Construction companies need to track bids, projects, materials, subcontractors, and payments simultaneously. Build a CRM that manages the chaos from pre-bid to project completion.

Construction is an industry where "organized chaos" is not a metaphor — it is the operating model. At any given time, a mid-size construction company is managing 5-15 active projects, each with dozens of subcontractors, material orders, inspection schedules, and milestone payments. The project manager is tracking everything in a combination of WhatsApp groups (one per project, naturally), Excel sheets, and paper invoices stuffed in folders. When something goes wrong — and in construction, something always goes wrong — finding the relevant information takes longer than fixing the problem.

Custom Modules for Construction

Build a "Projects" module with: Project Code (auto-number, prefix PRJ-), Project Name, Client (lookup to Contacts), Location, Type (picklist: residential, commercial, infrastructure, renovation, interior), Status (picklist: bidding, awarded, planning, in-progress, on-hold, completed, closed-out), Start Date, Expected Completion, Actual Completion, Budget (currency), Spent (currency), Project Manager (owner), and Priority. A "Bids" module tracks: Bid Number (auto-number), Project Name, Client, Bid Amount, Submission Date, Decision Date, Status (submitted, shortlisted, won, lost), Competitors (textarea), and Win Probability (percentage). "Material Orders" links to Projects with Material Type, Supplier (lookup to Accounts), Quantity, Unit Cost, Total Cost (formula), Order Date, Expected Delivery, Actual Delivery, and Status.

Subcontractor Management

Use Accounts for subcontractor companies with custom fields: Trade/Specialty (picklist: electrical, plumbing, HVAC, roofing, flooring, painting, etc.), Insurance Expiry (date), License Number (text), Rating (rating based on past performance), and Active Projects (count). A "Subcontractor Assignments" module links subcontractors to projects with work scope, start/end dates, contract amount, payment terms, and completion status. Date-based automations flag expired insurance and licenses. Scoring rules rank subcontractors by reliability (on-time completion rate, quality scores, response time).

Progress Tracking and Milestone Payments

Project milestones use a pipeline: Foundation → Structure → Roofing → MEP (mechanical, electrical, plumbing) → Finishing → Inspection → Handover. Each milestone has associated tasks with checklists, and milestone completion triggers payment processing. Automations create payment approval tasks when milestones are verified, send payment notifications to accounts, and update the project budget tracking. Weekly progress reports generate automatically from task completion data and budget utilization.

Client Relationship and Business Development

Construction is a relationship business — repeat clients and referrals drive growth. The CRM tracks every interaction with clients from initial inquiry through post-construction warranty. Surveys collect satisfaction feedback after project handover. Automated follow-ups at 6-month and 1-year marks maintain the relationship. When a past client mentions a new project need, the sales team has full context on the previous engagement. Reports on bid win rates, project profitability by type, and client lifetime value inform strategic decision-making about which projects to pursue and which to pass on.
