CRM for Event Management: Registrations, Venue Coordination, Vendor Tracking & Post-Event Follow-Up

Event planners manage a hundred moving parts simultaneously. Build a CRM that tracks registrations, coordinates vendors, manages budgets, and automates pre-event and post-event communication.

Event planning is project management on a deadline with no room for error and an audience watching. Conferences, product launches, weddings, corporate retreats, charity galas — every event is a complex web of registrations, venues, vendors, schedules, budgets, and communications that must come together perfectly on one specific date. The event planner trademark tool? A spreadsheet so complex it needs its own instruction manual.

Custom Modules for Events

Create an "Events" module with: Event Code (auto-number, prefix EVT-), Event Name, Type (picklist: conference, workshop, gala, product launch, wedding, corporate, charity), Date, Venue (lookup), Expected Attendance (number), Actual Attendance (number), Budget (currency), Actual Spend (currency), Status (planning, pre-event, live, completed, post-event), and Event Manager (owner). A "Vendors" module (or use Accounts with a custom field) tracks: Service Type (catering, AV, decor, photography, entertainment, security), Contact Person (lookup to Contacts), Contract Amount (currency), Deposit Paid (currency), Balance (formula), Status, and Rating (post-event performance). "Registrations" links Contacts to Events with: Ticket Type (picklist), Payment Status, Dietary Preference, Session Selections, and Check-In Status.

Registration and Communication Pipeline

Build a landing page for event registration with the Landing Page Builder. The form feeds directly into the Registrations module and creates a Contact record if one does not exist. Automations handle the entire communication timeline: immediate registration confirmation email, event details and logistics email 1 week before, reminder with venue directions and parking info 1 day before, day-of welcome WhatsApp message, post-event thank-you email with photos and survey link within 24 hours, and a "Save the date" for your next event 2 weeks later. Each touchpoint is tracked in the contact timeline.

Budget and Vendor Coordination

Task management handles every pre-event action item with dependencies and deadlines. The budget tracks across vendor contracts, venue costs, marketing spend, and contingency. Reports show budget utilization in real-time — are you at 80% of budget with 60% of planning done? Time to tighten. Calendar integration schedules vendor meetings, venue walkthroughs, rehearsals, and setup slots. Document Hub stores contracts, floor plans, run-of-show documents, and design assets in one organized space.

Post-Event Intelligence

The event ends but the data does not. Run post-event reports on attendance versus registration (no-show rate), budget versus actual spend, vendor performance ratings, survey feedback scores, and social media engagement during the event. NPS surveys measure overall attendee satisfaction. For recurring events, compare year-over-year data to track improvement. The attendee database becomes a marketing asset — segment by event type, engagement level, and feedback score for targeted future event promotion. Event planners who systematize their post-event analysis improve quality every single time.
