Medivot for Event planners and managers

Events are projects. Yours deserve a system.

An event planner's reputation is built on a hundred details landing on time: the guest list, the reminders, the vendor confirmations, the client's latest change. Medivot keeps the people side of every event in one place, registrations, reminders, client communication and follow-up, so the day itself is the only thing you have to improvise.

The problems that cost you money

  • Guest lists live in a spreadsheet that three people edit, and nobody knows the real RSVP count
  • Guests forget the date, the venue or the dress code, and the week before the event becomes a reminder marathon
  • Client approvals and changes scatter across chats, and something agreed in a voice note never makes it to the plan
  • After a flawless event there is no follow-up, so the happiest guests never become reviews, referrals or the next booking

Registration pages instead of RSVP chaos

Give every event a landing page or a webinar-style registration for online and hybrid sessions: guests register once, get confirmations with calendar files, and receive reminders automatically. The count is live, sources are tracked, and the list belongs to the event, not to someone's phone.

A pipeline for your client work

Each client engagement is a deal in your CRM pipeline, proposal, deposit, planning, delivery, wrap-up, with tasks and reminders on the milestones. The timeline holds every email and decision, so when the client asks "what did we agree?", the answer is one click away.

Follow-up that books the next event

The week after the event is when reviews, referrals and repeat bookings are won. Email automations send the thank-you, the photo-gallery link, the review request and the "book us for December" note on schedule, segmented by guests, clients and vendors.

A week with Medivot: event planners and managers

  1. Open registration. Publish the event page with the date, venue and what to expect; every RSVP becomes a contact with consent and source recorded.
  2. Let reminders run. Confirmations carry a calendar file, and reminders go out before the day, so attendance stops depending on your phone calls.
  3. Run the day. Check the live count, export the list for the door, and for hybrid events run the online side on Medivot Stream.
  4. Follow up while it is warm. Thank-yous, galleries, review requests and next-event offers go out by automation, and the client conversation moves to the next milestone.

Frequently asked questions

Can Medivot handle event ticketing?

Medivot collects registrations and RSVPs but does not sell tickets or take payments. For paid events, take payment through your payment provider and register confirmed guests in Medivot for communication and reminders.

Can I run hybrid or virtual events?

Yes. Online sessions run on Medivot Stream with personal join links, Q&A and recording, while registration, reminders and follow-up run in Medivot. Many planners run the in-room and online audiences side by side from one registration list.

How do I manage several client events at once?

Each event is its own page and registration list, and each client engagement is a deal in your pipeline with its own timeline and tasks. Filters and segments keep the events separate while one dashboard shows everything open.

Can vendors and staff get their own updates?

Yes. Keep vendors and crew as segments in the CRM and email them their own briefings and reminders, separate from guest communication.
