CRM for Real Estate: Manage Listings, Track Buyer Interest & Close Deals Faster

Real estate agents and developers juggle properties, buyers, viewings, and negotiations. Build a custom CRM that tracks every listing, every interested buyer, and every stage of the deal.

A real estate agent phone is a war zone. WhatsApp messages from buyers asking for "that 3-bedroom in Lekki," calls from landlords wondering why their property has not sold, viewing schedules that clash, and commission negotiations that seem to drag on forever. The average agent manages 15-30 active listings while nurturing 4-5x as many prospective buyers. Without a system, things slip through the cracks — and in real estate, a slipped crack is a 6-figure commission walking away.

Custom Modules for Real Estate

Create a "Properties" module with: Property Code (auto-number, prefix PROP-), Title (text), Type (picklist: apartment, duplex, terrace, detached, semi-detached, land, commercial, office), Bedrooms (number), Bathrooms (number), Size (decimal + sqm), Location (text), Price (currency), Status (picklist: available, under offer, sold, rented, withdrawn), Owner/Landlord (lookup to Contacts), Agent (owner), and Description (textarea). Add a "Viewings" module linking Properties and Contacts with: Date, Time, Agent, Buyer/Tenant (lookup), Feedback (textarea), and Interest Level (rating). An "Offers" module tracks Offer Amount, property reference, buyer, status (submitted, negotiating, accepted, rejected, withdrawn), and conditions.

Buyer Matching and Scoring

Use lead scoring to prioritize buyers: previous viewing attended (+10 points), budget over a threshold (+15 points), pre-approved for mortgage (+20 points), multiple inquiries in same area (+10 points), responded to email within 24 hours (+5 points). High-scoring leads get personal attention. Low-scoring leads go into nurture campaigns. Saved views with filters — budget range, preferred location, property type — let agents instantly pull up matching buyers when a new listing comes in. "New 3-bedroom in Ikoyi, 80M naira? Let me see who has been searching for exactly that." Two clicks.

Virtual Tours

Create a landing page for each premium listing with photos, floor plans, virtual tour video, specifications, and an inquiry form that feeds directly into the CRM.

Pipeline: From Inquiry to Keys Handed Over

Use a pipeline with stages: Inquiry → Viewing Scheduled → Viewed → Offer Made → Negotiating → Offer Accepted → Documentation → Payment → Completed. Each deal record links to the property and buyer. Automations move deals forward when milestones are reached — create documentation tasks when an offer is accepted, send payment reminders at scheduled dates, and notify the landlord when the deal closes. Reports show sales cycle time by property type, conversion rates by agent, and revenue by location.

Run webinars and town halls — Registration, reminders and attendance tracking in one place.
