CRM for Recruitment Agencies: Track Candidates, Manage Job Orders & Automate the Hiring Pipeline

Recruiters juggle candidates, clients, job orders, interviews, and placements. Build a recruitment CRM that tracks every candidate through the hiring pipeline with automated communication at each stage.

Recruitment is a race. The best candidates are off the market in 10 days. The client wants 5 pre-screened candidates by Friday. Your inbox has 200 applications for 3 open roles. Your recruiter WhatsApp has 50 unread messages from candidates checking their application status. If your candidate tracking system is a combination of email folders, Excel sheets, and memory, you are losing placements to recruiters with better systems — not necessarily better candidates.

Custom Modules for Recruitment

Create a "Candidates" module with: Candidate ID (auto-number, prefix CAN-), Name, Email, Phone, Current Title, Current Company, Skills (multi-picklist), Experience Years (number), Expected Salary (currency), Notice Period (picklist), Location, Resume Upload (file), LinkedIn URL, Source (picklist: job board, referral, direct application, headhunt), Status (available, interviewing, placed, passive, blacklisted), and Recruiter (owner). "Job Orders" links to client Accounts: Job Title, Department, Required Skills, Experience Range, Salary Range, Job Type (permanent, contract, temp), Urgency (hot, standard, backfill), Hiring Manager (lookup to Contacts), and Status (open, on hold, filled, cancelled). A "Placements" module links Candidates to Job Orders with Start Date, Salary, Fee (currency or percentage formula), Guarantee Period, and Status (pending, started, in probation, confirmed, terminated).

Hiring Pipeline Automation

Pipeline stages mirror the hiring process: Application Received → Phone Screen → Shortlisted → Client Submission → Client Interview → Offer → Placement. Move a candidate to "Phone Screen" and an automation schedules a screening call task for the recruiter. Move to "Client Submission" and the system sends the client an email with the candidate profile attached. Move to "Client Interview" and a booking link goes to the candidate for interview scheduling. Move to "Offer" and a task is created for contract preparation. Every stage transition reduces manual communication by 5-10 minutes. Across 50 candidates per month, that is hours recovered.

Candidate Engagement at Scale

Scored candidates get prioritized outreach. Scoring: matching skills (+10 per key skill), relevant industry experience (+15), within salary range (+10), immediate availability (+20), referral source (+15). High-scoring candidates for an open role are automatically shortlisted. Email nurture sequences keep your talent pipeline warm — monthly industry insights, career tips, and new role alerts. When a perfect candidate has been in your database for months and a matching role opens, the CRM surfaces them before you start advertising externally.

Client Relationship and Revenue

Track client accounts with deal history, placement success rates, and fee revenue. Run reports on time-to-fill by role type, placements per recruiter, client satisfaction surveys results, and revenue forecasting from pipeline. Automate post-placement check-ins at 30, 60, and 90 days to ensure candidate retention and maintain client relationships. NPS surveys to both clients and placed candidates provide data for service improvement and testimonials for new business development. The CRM transforms recruitment from a reactive scramble into a proactive talent management operation.
